Adding and editing items

Create and manage inventory items in PalmFlow — titles, cost, condition, photos, custom attributes, statuses, cloning, and duplicate detection.

An item is the core unit in PalmFlow: a single physical thing you own, with its own cost, location, status, and history. Get items right and everything else — profit, sync, reports — falls into place.

Adding an item

  1. 1From Inventory, click Add item.
  2. 2Fill in the basics: title, what you paid (cost), quantity, and condition.
  3. 3Optionally add a SKU, a location, photos, and notes.
  4. 4Save. The item enters your inventory with a status and a timeline.

If you'd rather not type, you can scan a barcode to start an item, or import a CSV in bulk.

Item details that matter

  • Cost basis — what you paid. This drives every profit number. See Profit and cost basis.
  • Status — where the item is in its lifecycle (for example sourced, listed, sold, shipped). See Item lifecycle and SLA.
  • Location — the bin, shelf, or zone it physically lives in.
  • Photos — attach images so you can identify an item at a glance.
  • Custom attributes — your own fields (size, color, brand, lot number) on paid plans, so inventory fits how you actually work.

Cloning and duplicates

  • Clone an item to create a near-identical one without re-entering shared details — useful for similar pieces from the same haul.
  • Duplicate detection flags when a new item looks like one you already have, so your counts stay clean.

Editing and bulk changes

Open any item to edit its fields; changes are recorded on the item's timeline. For larger cleanups, bulk edit lets you update status, location, or other fields across many items at once on paid plans.
